PRINCE2 COMPONENTS - Plans

A plan is a document using a predefined method which describes how and by whom specific target or set targets are to be achieved. It designs how targets for products, timescales, costs and quality can be met.

A plan is the backbone of a PRINCE2 project and should be kept in line with the Business Case at all times. It will require approval and commitment of all relevant levels of the Project Management team.

Benefits of planning:

  • Avoiding a muddle and ad hoc decisions
  • Helping the management team to think ahead
  • Providing a yardstick against which progress can be measured
  • Communication
  • Gaining commitment from contributors and recipients
  • Provision of personal targets

The elements of a PRINCE2 plan are:

  • The products to be produced.
  • The activities needed to create those products.
  • The activities needed to ensure quality of those products.
  • The resources and time needed for all relevant activities and any specific skills requirements identified.
  • The dependencies between activities.
  • External dependencies for the delivery of information, products or services.
  • When the activities will occur.
  • The points at which progress will be controlled.
  • Agreed tolerance.

Plans are produced at three levels in a PRINCE2 project.

  • Project plan - this is the high level overall plan that covers the full duration of the project.
  • Stage plan - this is an extract of the project plan covering a specific stage with more detail.
  • Team plan - this is an optional plan which would contain a more detailed breakdown of a section of the stage plan for use by a team when developing certain products.
  • Exception plan - when a plan is predicted to no longer finish within the agreed tolerances, an exception plan is produced to replace that plan.
